HOW WE WORK
Every FIRM engagement follows the same structured process. You know what happens next, who is handling it, and when to expect it. You provide what is needed and FIRM handles everything else. No chasing, no ambiguity, no surprises.

The full process has more steps than three, but at its core it is this simple. The detail is in how FIRM executes each of them.

Contact FIRM, describe your requirement, and receive a clear scope, timeline, and fee confirmation before anything else happens. Nothing starts until you confirm.

FIRM prepares your documents, manages all government portal submissions, monitors progress, and resolves any issues that arise, without involving you in the administration.

FIRM delivers your completed registration, certificate, or filing confirmation, together with a clear briefing on your ongoing obligations and the recommended next steps.
THE ENGAGEMENT PROCESS
Here is exactly what happens from the moment you contact FIRM to the moment your engagement is complete.
Initial Contact and Scope Confirmation
You reach out to FIRM by email, phone, or through the website contact form. FIRM’s team reviews your requirement and responds with a clear confirmation of exactly what is needed, what the process involves, how long it typically takes, and what the fee is. There are no hidden charges and no obligations at this stage. You decide whether to proceed. Work begins only after you confirm the engagement.
Information and Document Collection
Once you confirm the engagement, FIRM sends you a specific list of the information and documents required, tailored to your particular engagement. This will not include anything unnecessary. You provide what is on the list. FIRM reviews everything for completeness and accuracy before proceeding. If anything is missing or requires clarification, FIRM contacts you immediately rather than making assumptions.
Preparation and Internal Review
FIRM prepares all required documents, forms, resolutions, and filings for your engagement. Every document goes through an internal review before submission. Where FIRM identifies an issue, an inconsistency, or a decision that requires your input, we contact you immediately with a clear explanation and a recommended course of action. No document is submitted until FIRM is satisfied it is correct and complete.
Filing and Execution
FIRM submits your documents to the relevant government authority: the Business Registration Service, the Kenya Revenue Authority, the Kenya Industrial Property Institute, or another body as appropriate. FIRM monitors the submission, responds to any queries raised by the authority, and handles all follow-up required to keep the process moving. You do not need to interact with any government portal or authority. FIRM keeps you updated at each significant milestone.
Delivery, Handover, and Next Steps
When the outcome is ready, FIRM delivers your completed documents, certificates, or confirmation to you directly. Every completed engagement includes a clear handover summary setting out what was done, what documents you now hold, what your ongoing statutory obligations are, and what FIRM recommends as your next step. You leave every engagement knowing exactly where you stand.

FIRM’s process is designed to ask as little of you as possible, but there are things only you can provide.

TYPICAL TIMELINES
Timelines below are estimates from the date FIRM receives all required information and documents. Government processing times vary and are not within FIRM’s control. FIRM will always communicate a realistic timeline at the start of every engagement.
From receipt of all documents to Certificate of Incorporation. Name search and BRS processing included.
Name search, reservation, and BRS registration completed within 48 hours of instruction.
KRA PIN, VAT, and PAYE registrations completed via iTax, including profile error resolution where needed.
Search, class strategy, and KIPI application filed. Full KIPI examination is a separate 18-24 month process.
FIRM tracks and files your annual returns before the statutory deadline, with no action required from you.
Westlands address arranged and company registered office updated with the Registrar of Companies.
Full subsidiary incorporation, director appointments, registered office, and KRA registration.
Shareholders agreement, director appointments, statutory filings, and register updates.
